Your On-Prem Gateway Is a Close Risk You Don't Monitor
An unmonitored Power BI gateway turns a quiet refresh into a missed close. Treat gateway health like finance risk, not IT housekeeping.
The on-prem data gateway sits on a box nobody talks about until morning.
Finance opens the close pack. Plant opens the stand-up board. The dataset did not refresh. Or it refreshed late. Or it refreshed from yesterday because the gateway choked overnight and nobody was on call.
That is not an IT housekeeping miss. That is close risk with a quiet name.

Gateway health is part of the close calendar
Mid-market manufacturers and distributors still run plenty of source systems on-prem. ERP, MES, file shares, SQL that never left the plant network. Power BI Service cannot see that data without a gateway.
So the gateway becomes the path for overnight refresh, DirectQuery traffic, and anything that must land before the first management meeting.
Most companies install it once. Someone in IT picks a server. Credentials get stored. A few datasets start using it. Then attention moves on.
There is often no high availability pair. No CPU or memory alert that pages a human before the refresh window. No named owner who treats gateway downtime like a failed bank feed. When the box reboots after a patch, the first notice is a blank tile at 7 a.m.
This sits next to the 7 a.m. surprise and refresh failures are a close risk. The gateway is the physical reason those failures keep recurring. Treating it as “infrastructure” while the business treats the pack as “the books” is how the two calendars diverge.

Name an owner and a backup. Not “IT.” A person who knows which datasets depend on which gateway, who gets paged, and who can approve an emergency failover. Put that name next to the close calendar contacts.

Inventory what rides the gateway. List datasets, refresh schedules, DirectQuery reports, and source systems. Mark which ones feed close, plant huddles, and customer service. You cannot prioritize what you have not named.

Put basic host monitoring on the box. CPU, memory, disk, and gateway service status. Alert before the overnight window, not after the stand-up. Thresholds should be boring and early.

Watch refresh outcomes as a business signal. Failed and overdue refreshes for close-critical datasets should page the same way a bank feed failure would. Tie this to your refresh failure playbook, not a generic infrastructure queue.

Add a second gateway for critical paths. High availability is not theater when month-end depends on one VM. Cluster or pair gateways for finance and plant datasets at minimum. Test failover on a quiet weekend, not during close.

Separate noisy workloads from close workloads. Heavy ad-hoc refresh and sprawling sandbox datasets should not share fate with the controller’s as-of. Split gateways or schedules so exploration cannot starve the books.

Document restart and credential runbooks. Patch order. Service start order. Where credentials live. Who rotates them. How to confirm the first post-restart refresh. A one-page runbook beats tribal knowledge at 6:40 a.m.

Schedule a pre-close gateway check. The week before close, verify service health, disk headroom, recent error logs, and that HA members are both online. Make it a close checklist item, not an optional IT chore.

Prove the path after every infrastructure change. Network rules, DNS, host rebuilds, and source moves all break gateways quietly. A test refresh to a non-prod dataset after change control is cheaper than a blank executive pack.

Connect gateway risk to capacity and model risk. A healthy gateway still loses when shared capacity throttles the close or when refresh succeeds and the data is still wrong. Gateway monitoring is one gate. It is not the only gate.
What good looks like
The close calendar lists the gateway owner beside the ERP extract owner. Overnight alerts hit a phone before a dashboard goes blank. Critical datasets have a redundant path. Plant and finance teams know who to call, and that person already knows which box to check.
The gateway stops being a mystery server in a rack. It becomes a named dependency for decisions that cannot wait.
A practical weekly rhythm
Monday: glance at gateway host metrics and last weekend’s error log. Wednesday: confirm HA members are both online and that the next close-critical refresh completed on time. Friday before close week: walk the runbook once—service status, disk headroom, credential age, and a test refresh to a non-prod dataset.
That rhythm takes minutes when the estate is healthy. It takes hours when you invent it after a failed pack. Build the habit while mornings are still quiet.
Pair the rhythm with honest labels in the Service. If a dataset depends on the plant gateway, say so in the description. If refresh must finish before 6:30 a.m. local, write that SLA where the owner will see it. Hidden dependencies are how “IT will handle it” becomes “nobody handled it.”
Do not wait for a perfect monitoring stack. Start with service up/down, disk, CPU, memory, and refresh success for the five datasets that feed close and stand-up. Expand later. The first win is knowing before the room does.
